How to send a win back campaign in Jackrabbit

In Jackrabbit, a win back list starts with drops. The Drop History report lists students dropped in a date range, and you can email their families straight from the results. Texts go out through Jackrabbit's Twilio texting, which you set up once and pay for by the number and by the text.

Build your win back list

Your list has two groups: families whose students dropped in the last six months, and leads or trial students who never enrolled. Jackrabbit counts a family as Active while any student is enrolled in a class that is not archived. After that, the family turns inactive on its own.

Past students and families

  1. Open the Students menu, then Student Reports, then Drop History.
  2. In the Search Criteria, set the time frame to the last six months and Show Drops to Drops Only.
  3. Run the report. Tick Email All or single students in the last column, then click Email.
  4. For students who finished and never came back, run Enroll History from the same menu. Set Current Student Status to Inactive.

If you use class sessions, the Enrollment Detail report can show who was enrolled last session but not this one. Set Active Classes Only to No so archived classes count.

Leads who never joined

Jackrabbit keeps prospects in the Lead File, under the Families menu, along with inactive families you archived there. Use Search Leads or List All Leads to see them. For trial students who never enrolled, Jackrabbit suggests dropping them with a reason such as No Show. Then run Drop History with Enroll Type set to Trial.

Start with the most recent

If the list is long, run Drop History for the last two months first, then months three to six. Recent leavers are the easiest to bring back.

Send the three emails

For past students, use the Email button in the Drop History or Enroll History results. For leads, open the Lead File and choose Email Leads. For a filtered list, use All Families, the Send a message icon, then Email.

  • Every Jackrabbit email shows your organization name with noreply@jackrabbittech.com as the sender. Replies reach the inbox you pick in Email Replies Sent To.
  • To schedule, click Preview List, then Send Later, and pick a date and time up to 90 days ahead.
  • Emails sent from All Families or a family record carry an unsubscribe link. If someone confirms they want off the list, Jackrabbit ticks their Mass Email Opt Out box for you. Leave the option to include opted out people switched off.
  • The help pages confirm that link only for those two routes. When you email from a report or the Lead File, add your own opt out line.

Send the two texts

Jackrabbit texts through a Twilio account it sets up for you, from the Gear icon, then Settings, then General, then Text Messages. It is open to paid subscribers in the US and Canada. Approval can take up to two weeks, so start early.

  • Send from Email/Text Families in the Families menu, or from All Families with the Send a message icon. Each text holds up to 160 characters.
  • Families can reply, but replies reach you as emails at the Notification Email(s) address in your text settings. If you answer by text from your phone, it goes from your own number, not the studio's.
  • Jackrabbit's setup page listed these prices in October 2026: a one time setup fee of up to $69, then $4.90 a month per number, plus 2 cents per text sent or received.
  • Text only families who agreed. Each contact and student has a Text Opt In checkbox, set through the Parent Portal, online registration or the 135 Text Messaging email template. A STOP reply opts them out.

Can Jackrabbit run it for you?

Partly. Jackrabbit's automation help covers tuition, ePayments and notification emails. It does not describe a built in message sequence. You can still schedule all three emails on Day 1 with Send Later.

  • The help pages do not describe scheduling a text, so send the Day 3 and Day 8 texts by hand on their day.
  • Jackrabbit's Zapier connection has a Student Dropped trigger. Jackrabbit's own example pairs it with a Zapier delay and Gmail for drop follow ups. Zapier needs its own account.
  • Jackrabbit can also sync contacts one way to a CRM built on HighLevel, tagged by status such as Inactive or Lead. Opt outs carry over only in the first sync.

See who came back

  • Ask your front desk to note anyone who mentions your code word, and check both reply inboxes.
  • Enroll History lists each student and the date they were placed in a class. Run it for the campaign dates and match names against your list.
  • On All Families, the Status chart counts active and inactive families, so you can compare it before and after.
  • For trial students, set Enroll Type in the Enrollment Detail report to show who went from trial to enrolled.
  • The help pages do not describe email open tracking. The Text Activity Report, under Reports, then Find Reports, then Email/Text/Marketing, shows texting activity and who replied STOP.

Watch out for

  • A scheduled email keeps the recipients it had when you created it. Before Day 5 and Day 10, open the Scheduled Emails report and use the eye icon to remove families who came back.
  • The help pages show an Email button in Drop History but no text option. Text from Email/Text Families and untick names not on your list. For Lead File families, use the texting tool you already use.
  • Jackrabbit's messaging guidelines treat texting as a channel for urgent, timely updates rather than marketing. They warn against dollar signs, percent offs and Buy Now. Keep the offer in the emails.
  • Each texting number handles about 200 texts a day, so a long list may need a second number.
  • Do not use the Opt In Contacts button to make your list textable. It opts in everyone with a cell number who never chose either way.
  • A Lead File family who registers online again gets a new family record, not flagged as a duplicate. Use Restore Family on the old record and merge the two.
  • A student who stopped coming but was never dropped is still enrolled, so their family counts as Active and is missing from Drop History.
