Gym member retention calculator

Put in your own numbers to see how much membership revenue walks out the door each year, what keeping a few more members is worth, and how your retention compares with the average gym.

Not sure? The average gym keeps 66.4 percent of its members a year, which works out to about 3 or 4 of every 100 members leaving each month.

How this is figured: members leave at the end of each month and nobody replaces them, so the members who leave this year take 66 months of dues with them for every member a month you lose. It leaves out new joins, price changes and members who come back on their own. Average retention: HFA data via Gymdesk, September 2026.

What the numbers mean

Most owners watch new joins closely and see cancellations only as a single number at the end of the month. The calculator turns that number into dues: a gym that loses a handful of members a month is quietly giving up the price of a new hire, a new rig or a slower month, every year.

The fastest money to win back usually sits in two places: new members who go quiet in their first weeks, before the habit sticks, and past members who left in the last six months and still remember your coaches. About half of new members quit within six months at the average gym, so the first 90 days matter most.

Where to start

  • Win back past members this month with the free win back email templates: three emails and two texts over ten days.
  • Find your list in Mindbody, PushPress, Wodify, Zen Planner, Glofox or Gymdesk with the software guide.
  • Check on new members in week two and week four. A short personal note from a coach catches people before they drift.
  • Count who comes back with a code word like COMEBACK, so you know which messages paid for themselves.
