How to send a win back campaign from your member software
Where to find your list of past members and trial leads, and how to send them a campaign, in the software most gyms and studios already use.
Before you start
A win back list has two groups: members who cancelled or froze in the last six months, and intro or trial leads who came in but never joined. Start with the people who left most recently. If you need the messages themselves, the win back email templates have three emails and two texts ready to fill in.
Software menus change. These steps were checked in October 2026, and each section links the vendor's own help article. If a step does not match what you see, the help article has the current path.
Mindbody
- Past members
- Follow Mindbody's report for clients who have not visited for a while and have no sessions left, then keep the people who left in the last six months.
- Leads who never joined
- Reports, then Clients, then Mailing Lists, with Prospects Only selected.
- Who goes first
- Export both lists, then use the Last Visit report to start with the people you saw most recently.
- Sending
- Send the emails as a campaign from Mindbody's marketing tools if your plan includes them, or import the list into the email tool you already use.
- Texts
- Only to clients who opted in to texts in Mindbody.
PushPress
- Your list
- Open your People List and filter by status or plan to show cancelled and frozen members plus leads.
- Sending
- Select the people and use Send message for each day of the campaign. The Communication tab handles bulk email too.
- Texts
- PushPress texts stop at 160 characters and members cannot reply to them, so keep texts short and ask people to mention your code word at the front desk instead.
Wodify
- Past members
- People, then Clients, in the Inactive tab.
- Leads who never joined
- People, then Leads, with any status except Converted.
- Who goes first
- Select the inactive clients, open the three dot menu and choose Export, then sort the file by Last Attendance Date.
- Sending
- Build a segment of them under People, then Segments. Then go to Communication, Marketing Emails, Create Email, choose the segment as recipients and schedule each email for its day.
- Texts
- Wodify's two way texts go one at a time, so send the two campaign texts from a workflow with text steps, or from the tool you already use for texting.
Zen Planner
- Your list
- In the left column under Saved Reports, choose Members, then New Report and People. Add the Status, Email and Phone columns, press Refresh Report and export as CSV. Keep the past members and the prospects who never joined; the Status column shows which is which.
- Who goes first
- Run New Report and Attendance for the last six months, and begin with the past members whose last class is the newest.
- Sending
- From Zen Planner Engage if your plan includes it, or from the email tool you already use.
- Texts
- Only to members who agreed to get them.
Glofox
- Your list
- Reports, then Lost Members, then Download Report as CSV or XLSX. This is your win back list.
- Sending
- Send the campaign from Connect, or from the email tool you already use.
- Texts
- Glofox can send texts through Connect. Send them only to members who opted in.
Gymdesk
- Your list
- Members, then Member List. Use the attendance and membership status filters to show past members and people who stopped coming, then Export.
- Sending
- From Gymdesk's messaging if your plan includes it, or import the export into the email tool you already use.
- Texts
- Only to members who agreed to get them.
Anything else
- Your list
- Look under Reports or Clients for an export to CSV or Excel with name, email, phone, join date, last visit and membership status. Filter it to people who cancelled or froze in the last six months, plus intro leads who never joined.
- Sending
- Use an email tool that adds an unsubscribe link to every email, and send each message on its day.
- Texts
- Only to people who agreed to get texts, from the tool you already use for texting.
After it goes out
Ask your front desk to jot down anyone who mentions your code word or replies with it. Two weeks later, count how many it went to, how many replied and how many came back, then see what that is worth with the retention calculator.
