How to send a win back campaign in DanceStudio Pro

DanceStudio Pro, now called Studio Pro, keeps past students on an Inactive Students tab. Its Robo Mailer sends bulk email at no charge. You can schedule the emails, but texts go out by hand. On the Elite plan, Lead Center automations can send the emails and texts for you.

Checked in October 2026 against DanceStudio Pro's own help center and product pages, linked under Sources. Menus change, so if a step does not match your screen, the linked article has the current path.

Build your win back list

A win back list has two groups: students who dropped out in the last six months, and families who tried a class but never enrolled.

Past students

  1. Open Students from the main menu, click the Inactive Students tab, then click Check All.
  2. Under the Inactive Student Actions button, choose Send Message to selected Students.
  3. To reuse the list, add the checked students to a student group from the same button. Create the group first under More, then Settings, then Groups.

The help pages show staff marking students inactive by hand. They do not describe a filter for when a student left, so the tab may hold students who left years ago.

Leads who never joined

On Elite, leads live in the Lead Center under Magic, sorted by stages you can customize. On Essentials and Premier, they sit under More, then Leads & Prospects. The help pages do not describe messaging that list in bulk, so email those families from the tool you already use.

Start with the most recent

Seasons give you a recent list. On the Students page, click your current season's tab and choose See Students not enrolled this season under Student Actions. Email Students not enrolled this season sits in the same menu. Send to them first, then the older inactive list.

Send the three emails

Bulk email goes through Robo Mailer, under Quick Links in the left menu, or the message option on any checked list. Save your emails first under More, then Settings, then Communication Templates.

  • To schedule, click Schedule Message instead of Send, pick the date and time, then click Schedule Email. The Scheduled Emails button lets you change the content or send time, or cancel it. The help pages do not mention changing who gets it.
  • Emails show a Studio Pro no reply address. Replies go to your main email under Settings. To route them elsewhere, add an address under Communication Settings, then More, then Email Senders.
  • Every email has an unsubscribe link that takes effect at once.
  • If you turned on marketing opt in under Waivers & Policies, marking an email as marketing sends it only to parents who opted in.

Send the two texts

Every plan includes Robo Texter for one way texts. The help center listed them at $0.02 a text, with a $1.00 minimum per send, in October 2026. Check students on the Students page and choose Robo Text selected Students under Student Actions. If the inactive tab offers no texting, which the help pages do not cover, use your usual texting tool, only for families who agreed.

  • Texts cannot be scheduled, per the help center, so send Day 3 and Day 8 by hand.
  • Choose the Promotional type. Families pick which types they accept in their Parent Portal, and imported families must opt in before they get any texts.
  • Start each text with your studio name, because Studio Pro does not add it. It does add the STOP line to each family's first text of the month. STOP ends texts until the family sends START.
  • Keep each text within 160 characters, the carrier limit. Longer messages get split into several texts. Carriers may filter links, so keep links short and few.
  • On Elite in the US and Canada, families can reply, and replies land in SMS Conversations under the bell icon. Elite includes 3,000 texts a month, sent and received combined, then $0.02 each.

Can DanceStudio Pro run it for you?

On Elite, largely yes, through the Lead Center. Studio Pro's own training suggests moving inactive families there for a win back campaign.

  • Create the campaign under Magic, then Lead Center, then Campaigns.
  • Check the families on the Students or Parents page and choose Move to Lead Center under the actions button. Pick a Lead Stage and your campaign. History and text opt ins stay.
  • Under Automations, choose Automation Options, then Create Automation. Each one is a single email or SMS Message with a campaign, stage and schedule, so build five. The help pages do not list the timing choices, so confirm days 1 to 10 fit.
  • A family moves back once a student enrolls. The help pages do not say whether waiting automations then stop.
  • Elite was listed at $150 a month on the dance studio page in October 2026. Essentials was $45 and Premier $75.
  • Without Elite, the Personal Assistants under Magic email current students after absences and families the day after a trial class. The help pages describe none for inactive students.

See who came back

  • Have your front desk note each family that mentions your code word. Below Elite, families cannot reply to texts.
  • Mark returning students active with Mark selected Students active on the inactive tab. That also takes them off your next send.
  • Run See Students not enrolled this season again after Day 10. Anyone who enrolled has dropped off it.
  • Magic, then Comm Dashboard, shows each Robo Mailer email's opens and bounces, and who opened it.
  • The Enrollment Dashboard, under Class Options on the Classes page, charts enrollment over time. On Elite, each campaign also has Analytics.

Watch out for

  • Robo Mailer cannot fill in each parent's name yet, so write greetings that work for every family.
  • If Google is connected under Connect with Google, emails go out through Gmail. The Comm Dashboard then cannot track them, and you cannot choose a different email sender for replies.
  • Each Robo Texter send costs at least $1.00, so text your whole list at once.
  • Your own texting number, offered in the US and Canada, can take up to two to three weeks to verify. Until then, texts come from a generic Studio Pro number, so click Get Studio Phone Number on the Robo Texter page early.
  • Moving a parent to the Lead Center moves all of their children too. Check for siblings who still dance with you.
  • A parent who unsubscribed can only sign back up from their own Parent Portal or a resubscribe link you send.
