How to send a win back campaign in Wodify

Wodify Core can send all five messages. Marketing Emails schedules the three emails to a Segment, and the Inbox sends two way texts from a toll free number. That number needs carrier verification, which Wodify says can take two to three weeks, so set it up first.

Build your win back list

Your list has two groups: clients who cancelled, went on hold or stopped coming in the last six months, and leads who never joined.

Past members

  1. Go to People, then Clients, and open the Inactive tab. These are clients whose accounts were deactivated.
  2. Tick the top checkbox, click the three dot icon and choose Export. The spreadsheet has no cancel date, so keep people whose Last Attendance Date is within six months.
  3. For clients still marked Active who stopped coming, go to Analytics, then Standard Reports, open the Attendance tab and run Most Recent Attendance.
  4. For clients on hold, go to Analytics, then Reports, and on the Membership tab run On Hold Memberships.

Step 3 matters in Wodify. Cancelling a membership leaves the client Active unless you change the Deactivate Account toggle, so many who cancelled never reach the Inactive tab.

Leads who never joined

Go to People, then Leads, and pick the Board view. Each lead status is a column. New, Trial, Contacted and Disqualified leads never became clients; Converted leads did.

To save the list, switch to the List view, tick the top checkbox, click the three dot icon and choose Export. For the last six months only, the data table under Analytics, then Insights, then Leads lists leads created in the period and can be downloaded. Wodify lists this table and the All Leads report only for tiers with Leads, and Essentials is not among them.

Start with the most recent

If the list is long, send to people who left in the last two months first, then months three to six. Recent leavers come back most easily.

Send the three emails

Use Marketing Emails, not the Inbox. Go to Communication, then Marketing Emails, and click Create Email. In the To field, pick one or more Segments. People in two Segments get one copy.

  • Build the Segment first under People, then Segments. Click + Segment, then Save Segment, then + Add Rule. Rules can target location, demographics, membership details and activity.
  • The help center does not name the rules. Check who is in the Segment and use Exclude to drop anyone who should not get it. If no rule fits, send from the email tool you already use.
  • Schedule send lets you set all three emails ahead, in 15 minute steps, and edit or cancel each until it goes. Use Send test first.
  • Add the Marketing Unsubscribe Link placeholder. With it, people who unsubscribed are skipped; without it, Wodify emails them too. Wodify says leads and Inactive clients almost always need this link.
  • Set From Name, From Email and Reply to. The default @wodifymail.com address cannot receive mail, so pick a real reply address. Any other sender address must sit on a domain you connect under Communication, then Settings, then Domains & Emails.

The Inbox also sends email, but it reaches people who unsubscribed and does not support placeholders or templates yet.

Send the two texts

Wodify texts are two way. Replies come back to the Inbox, and a text from an unknown number creates a new lead. Texting works only in the United States and Canada.

  • Set up a number first. Go to Communication, then Settings, open the SMS Numbers tab and click CREATE GROUP NUMBER. Only toll free numbers are offered for now.
  • Carriers need your legal business name, EIN and an image of your opt in form. Texts will not send until the number is verified.
  • To send, go to Communication, then Inbox, click Create Message and choose SMS. Wodify flags anyone who will not get it.
  • Texts only reach people whose SMS permission box is checked on their profile. Check it only with their consent. Wodify suggests putting Text STOP to unsubscribe in your waiver.
  • Up to 160 characters with no image is an SMS; anything longer or with media goes as MMS. Wodify says texts cost money per message but gives no price, and its pricing page says usage fees may apply.

Can Wodify run it for you?

Partly. Under Automations, then Builder, the Wodify Library holds ready made recipes. Two fit a win back, but neither runs on a ten day schedule.

  • The Reconnection Series, a 12 month lost client win back, starts when a client's status changes to Inactive. Its first message comes about 30 days later.
  • Lead Conversion Catalyst starts when a lead is changed to Disqualified. It runs about 300 days with emails, texts and a staff task.
  • Both start on a status change, so they suit people who leave from now on, not your current list.
  • Installing a bundle does not switch it on. Workflow Enrollment shows what is active and who is enrolled.
  • A ten day sequence needs a custom recipe. The help pages do not list the Builder's triggers or actions, so check them there or book Wodify's workflows setup call.
  • Plans cap automations: two on Essentials and on older Free, Grow and Promote plans, 15 on Accelerate, unlimited on Ultimate. An Unlimited Automations add on is available below Ultimate.

See who came back

  • Ask your front desk to note anyone who says your code word. Text replies land in the Inbox under My Conversations, and admins can open All Conversations.
  • Reactivate a returning Inactive client from the Inactive tab: open them, then Actions, then Reactivate. Their old membership does not come back, so add a new one.
  • Under Analytics, then Reports, the Membership tab has New Memberships. It goes by start date and leaves out renewals, so run it for your campaign dates.
  • Leads who join move to Converted on the Board.
  • Open a sent Marketing Email and click the delivered count to see Open rate, Click rate, Unsubscribed and Marked as Spam.

Watch out for

  • Inactive clients cannot sign in to Wodify, so ask them to reply or come in rather than book in the app.
  • Is The Reconnection Series or Lead Conversion Catalyst on? Then deactivating clients or marking leads Disqualified while you tidy up starts a long drip on top of your campaign.
  • Choosing a Segment in the Inbox only allows Send Now. To schedule a text, pick people one by one instead.
  • Switching between the drag and drop and rich text editors empties a Marketing Email. Pick one before you paste your template.
